I'm trying to send a large file attachment via email, but it's failing. Why?
Q14:  I keep receiving a message from System Administrator that my mailbox is over its size limit. Why?

You may be receiving a message similar to the one below in your inbox every night:

Your mailbox has exceeded one or more size limits set by your administrator.

Your mailbox size is 375204 KB.

Mailbox size limits:

You will receive a warning when your mailbox reaches 300000 KB.  You may not be able to send or receive new mail until you reduce your mailbox size.

To make more space available, delete any items that you are no longer using or move them to your personal folder file (.pst).

Items in all of your mailbox folders including the Deleted Items and Sent Items folders count against your size limit.

You must empty the Deleted Items folder after deleting items or the space will not be freed.

See client Help for more information.

You are receiving this automated message because the size of your mailbox exceeds the quota we have set for mailboxes. The message above serves as a reminder for you to perform various "clean up" steps on your mailbox. Please keep in mind that this quota threshold is size-based. It is not based on the number of messages in your inbox and subfolders, but on the size of the messages. Message size is primarily determined by attachments. Just a few messages with large attachments can be using more space than many hundreds of messages that have no attachments. That's why it is possible to delete or archive many hundreds or even thousands of messages without much effect on your overall mailbox size. Therefore, when cleaning your mailbox, target the messages with large attachments first.

See the Email/Outlook FAQ, specifically Q4.2, for more information on cleaning up your Outlook mailbox folders using the Large Mail Search Folder as well as other cleanup tools.
